Bookings
In order to make a booking you will be asked to complete the booking form. All the relevant sections of the booking form must be fully completed. By signing the booking form you will be accepting these booking conditions on behalf of yourself and all other persons using our services pursuant to a booking made by you.
You must clearly state all your requirements at the time of booking. If you want to change any aspect of your booking you must tell us as soon as possible (we recommend in writing). We will do our best to accommodate your changes but you will have to pay an amendment fee of £25 per person per change. You will incur the fee if you wish to change to a trip of shorter duration or different departure date. If an amendment is made less than 30 days before departure, normal cancellation fees will apply (see Cancellation). If any changes have occurred a new invoice will be issued and cancellation/amendments charges will be shown.
Payment & Deposit
If the booking is made 14 days or more before the departure date then a non-refundable deposit of 50% of the total holiday fare is required for us to reserve space for you. If the booking is made within 14 days of the departure date then full payment is required. Your booking is taken to be confirmed and accepted in respect of all persons travelling when we issue a confirmation invoice.
We accept MasterCard, Visa and a variety of debit cards. There will be a surcharge of 2% for all major credit cards ( no surcharge for debit cards), which will be added to the total invoice cost.
Your payment is not deemed made until it is received by Phoenix Tours.
Children between the ages of 3 and 12 receive a special discounted rate on all tours. Infants under the age of 3 and seated on a parent\'s lap are free of charge. If required, infants will be allocated a seat on coaches and this will only be available at an additional cost, please ask reservations at time of booking.

Cancellation
Cancellation by You :
Cancellation of a booking by you must be made in writing. A verbal message is insufficient. This avoids any misunderstanding. We will not treat a booking as cancelled until a written notice is received by us (fax or email is acceptable). The date of cancellation will be at the date on which notice is received by our office. The person who signed the booking form must also sign the letter of cancellation.

Cancellation by Us:
Where we cancel the whole tour before departure because of unusual or unforeseen circumstances beyond our control, then we will refund all money already paid by you but you will not be entitled to any compensation for the loss of the tour. We will try to re-book the same vacation with a different departure date, or a similar vacation, subject to availability.
In the event that we must change your hotel or other details of the tour, which may be for reasons beyond our control, we will notify you as soon as possible and give you the information as to the alterations. If the change significantly alters an essential term of the contract, you will have the right to withdraw from the contract in which event we will repay all money already paid by you to us or where the tour is interrupted to a significant extent by circumstances beyond our control we will refund what is deemed to be a fair proportion of the cost of the tour.
Certain holidays may require a minimum number of participants and in the event that there are insufficient participants prior to two weeks before the trip departure we will be entitled to cancel the holiday, whereupon all monies paid by you for your trip shall be refunded.
We reserve the right to alter or substitute the type of vehicle mentioned in the tour descriptions, depending on the number of clients carried, which vary from trip to trip. Normally maximum group size is 39 clients. Please note that if group sizes are under 15 we may use a minibus instead of a coach.
Insurance
You are advised to take out insurance, which would cover you in the event that you have to cancel your booking or compensate you for delays and/or damage to your property. Your insurance must include cover for medical and repatriation expenses, personal accident, personal baggage, money and public liability. We can arrange insurance if you ask.
You agree to indemnify us against all third-party actions taken against us for actions, accidents or damages caused by you arising from your participation in the holiday.
In the event of you making a claim against us for services rendered on your trip, you agree to sign over to us, any rights to take action against the supplier or any other person or party that you have the complaint against and co-operate fully with us should we or our insurers wish to enforce those rights which have been assigned to us.
In the event that you make a claim against us which is covered by your insurance policy, you agree to pursue the claim against your insurance company either in addition to, or in substitution for your claim against us. We agree to indemnify you in respect of expenses incurred in successfully pursuing such a claim and acknowledge that any settlement made by the insurer shall not prejudice your rights against us.
Health
If you, or any member of your party have a medical condition or disability which may affect your holiday, we ask that you please tell us before you confirm your holiday booking so we are able to advise as to the suitability of your chosen arrangements. In any event, you must provide us with full details in writing at the time of booking. If we reasonably feel we are unable to properly accommodate the particular needs of the person concerned, we reserve the right to decline the booking or ask for the person to be accompanied by a person who is able to provide full assistance to them throughout their trip.
Visas & Passports
You are responsible for ensuring that you are in possession of the required travel documentation such as visas and passports and that they are valid and effective for all countries passed through en-route. Additionally, most countries require that the passport be valid for at least six (6) months beyond the conclusion of your trip. Multiple-entry visas are required for some vacations. We cannot be held responsible for expenses incurred if the travel documentation does not meet the required criteria. If you are in doubt, please contact the relevant embassy or consulate.
Luggage
There are strict weight limits in Europe for coaches when fully loaded. Therefore you are only entitled to one piece of main luggage of standard size and not weighing more than 20kg. In addition you may bring a sleeping bag (where required) and a daypack.
The Volume of Shopping Goods
The volume of shopping goods carried and the venues visited will be at the discretion of the Drivers and Tour Manager. Goods carried are the responsibility of the passenger at all times. Phoenix Tours Ltd + Coach Company Accepts No responsibility for any losses or breakages of any items carried on and of their coaches.
Smoking
Government regulations forbid smoking in tourist coaches, however frequent stops will provide an opportunity for those who desire to smoke. Note that all accommodation will be in NO SMOKING rooms, unless a passenger specifically requires a SMOKING room.
Behaviour
You will be responsible for the conduct of yourself and all members of your party and you will indemnify us against any liability for damage caused by you or any members of your party. We reserve the right to terminate the tour in the event of behaviour deemed to be unreasonable by our staff.
Force Majeure
We do not accept liability for any loss, damage or expense resulting from war or terrorist activities, threatened or actual, civil unrest, industrial action, threatened or actual, weather conditions, fire, flood, drought, closures, unforeseen alterations to public transport schedules, rescheduling of aircraft or boats, or any other event outside our control which either delays or extends the holiday, or compels a change in the holiday arrangements.
We will not accept responsibility for any client who contravenes any law or regulation of any of the countries visited while on the trip.
Complaints
In the unlikely event of any dissatisfaction with the accommodation or any other service provided by us, you must report it immediately to the tour manager so that our staff can take action to remedy the problem. Failure to notify the tour manager of any problem immediately may result in your ability to claim compensation from us being extinguished or at least reduced. Any complaint made to us after the holiday should be made in writing within 30 days of holiday completion. In the event you do not notify us in writing within 30 days, this may affect the company\'s ability to investigate your complaint and may impact on the way that your complaint is dealt with.
